Vinisa Media Limited Privacy Policy Last updated: 31 August 2025 Vinisa Media Limited (company number 15856029) is the data controller. Our registered office is 130 College Road, Middlesex House, Harrow, HA1 1BQ, United Kingdom. 

1. Data we collect 

We process: • Registration details – full name, job title, company name, email address, phone number. • Payment metadata – transaction reference only; no card details ever stored. Payments are processed via secure third-party gateways. • Online activity – IP address, device type, browser, cookies (essential, analytics, marketing). • Images and video – taken at our events. • Lead data – scanned badges, business cards, notes from exhibitor/sponsor interactions. 

2. Why we use it 

• Deliver tickets, agendas, on-site support. • Facilitate B2B matchmaking and scheduled meetings. • Share attendee lists (name, title, company, job, email) with exhibitors, sponsors and partners listed in the event programme. • Send follow-up content and marketing emails (until unsubscribe). • Archive photos/video for promotion and historical use. • Comply with tax, audit and legal obligations. 

3. Legal basis Consent (via form tick-box) or legitimate interest (organising profitable events). 

4. Sharing Attendee lists are shared only with exhibitors, sponsors and partners pre-agreed for that event. No data is sold or rented. 

5. Transfers All data is hosted on EU servers (Ireland). No transfer outside the EEA without Standard Contractual Clauses. 

6. Retention • Registration and lead data: kept indefinitely unless you withdraw consent or request erasure. • Payment metadata: 7 years (accounting requirement). • Photos/video: kept indefinitely for marketing and archive. • Cookies: deleted when you clear browser or opt-out. 

7. Your rights 

Email info@vinisamedia.com to: - access your data - correct inaccuracies - erase your data (except where legally required) - object to marketing - export your data We respond within one month. You can also complain to the ICO (ico.org.uk). 

8. Security Encryption in transit (TLS 1.3), access controls, 2FA, annual audits. In event of a breach, we notify you and the ICO within 72 hours if required. 

9. Cookies Essential (required): cannot be turned off. Analytics (Google): opt-out via banner. Marketing (Facebook Pixel): opt-out via banner.
